How to choose a CRM: pipelines, data, hosting and price

Choose a CRM by its pipeline, data model, email sync, AI features and hosting. Compare HubSpot, Pipedrive, Attio, Zoho CRM, Salesforce, Twenty and SuiteCRM.

A CRM, or customer relationship management software, keeps one record for each contact and company, and it moves each deal through a pipeline of stages. The ranking's overview describes the shared core of most products the same way: contacts, companies, deals and a pipeline view. Choose a CRM by who will use it, how much of the sales process it must cover, where its data is hosted, and what its free plan or trial allows.

What a CRM is for

A contact is a person, and a company groups the contacts who work there. A deal is one opportunity to sell something, and a pipeline is the set of stages a deal passes through. The record keeps follow-ups out of personal inboxes and spreadsheets, so a second person can see where a customer stands.

Products differ in how far they reach beyond sales. The ranking's overview calls HubSpot, Salesforce and Zoho CRM suites that sit alongside marketing, service or finance products. Pipedrive and Freshsales stay closer to sales, and Attio is built around a flexible data model.

Who needs a CRM

A CRM pays off when more than one person works with the same customers, or when deals stall because follow-ups get missed. A solo seller with a few clients may do well with a spreadsheet, and a CRM adds setup and upkeep.

Free plans make a small start easier, but read the limit first. The ranking's FAQ says HubSpot's CRM has a free edition that small teams often start with. Zoho CRM's free edition covers up to 3 users, and Attio's free plan covers up to 3 seats. A cap on users suits a team of three, but the free plan stops fitting once the team grows.

A sales team that wants a simple pipeline has a narrower set of choices. The ranking's FAQ says Pipedrive is built around the sales pipeline and starts with a 14-day trial.

Email and calendar integration

Email sync removes much of the manual logging. The ranking's comparison lists automatic email sync for Salesforce, email sync for HubSpot and Freshsales, email sync and tracking for Pipedrive, and email and calendar sync for Attio and Twenty. Zoho CRM and SuiteCRM are listed with email integration, which is less specific.

Microsoft Dynamics 365 Sales ranks third in the CRM software ranking and has Outlook integration for email and calendars, which suits companies already on Microsoft 365.

A label in a comparison does not show how the sync behaves. Ask which mailboxes it covers, whether it adds messages to the contact record, and whether it also syncs calendars. Pipedrive's listing names tracking as well as sync, so ask what that tracking records before you rely on it.

Customization against simplicity

Custom objects let a CRM model things the vendor did not plan for, such as partners, properties or projects. The ranking's guide says fixed objects suit standard sales work, while flexible objects, as in Attio and Twenty, suit custom processes.

Customization has a maintenance cost. The ranking calls Salesforce the most configurable option in its list, and Salesforce's product entry notes that most configuration changes need an administrator. The ranking says Pipedrive does less than HubSpot or Salesforce outside sales, and Zoho CRM's breadth can make its interface busy.

Open source and self-hosting

Most CRMs are hosted by the vendor. Twenty and SuiteCRM can run on your own server, which keeps the data on servers you control and adds upkeep. Both are licensed under AGPL-3.0. According to the ranking's FAQ, SuiteCRM also sells paid hosting and support.

Open source does not always mean every file is open. The ranking's FAQ says Twenty is AGPL-3.0 with some enterprise files under a commercial license, so read the license for the edition you plan to run. AI assistants

The AI features differ in scope. HubSpot offers Breeze Assistant, Salesforce offers Agentforce, and Zoho CRM offers Zia Agents, which the ranking places in its paid editions. Pipedrive includes its Nova assistant in all plans. Attio's AI use is credit-based, which adds to the cost, and Freshsales sells AI agent sessions extra. Twenty has AI agents and an MCP server for AI tools. SuiteCRM's homepage lists no AI assistant.

Check whether the assistant is in the plan you would pay for, or sold as an add-on or as credits.

Price, free limits and trials

Check current prices on each vendor's pricing page, since a blog post goes out of date faster than a vendor's terms. Compare the shape of each offer instead.

  • HubSpot: a free CRM edition. Paid hub editions add automation and reporting, and costs rise as more hubs are added.
  • Zoho CRM: a free edition for up to 3 users, then paid per-user editions.
  • Attio: a free plan for up to 3 seats, then paid per-seat plans.
  • Pipedrive: a 14-day trial before a paid plan starts.
  • Freshsales: a 21-day trial before paid per-user plans.
  • Salesforce: per-user editions, with a free trial on its sales editions.
  • Twenty and SuiteCRM: free to self-host. Hosted and support plans are sold separately.

Data export and control

Test export before you commit. Export a small set of contacts and deals, open the file, and check that companies, notes and attachments came through as you expect. The ranking's criteria include hosting choice and data control. Self-hosting keeps your records on your own servers, while a vendor-hosted product keeps them on the vendor's, so read its data terms as well.
